Rental Policy Overview
A 25% non-refundable security deposit via credit card is required to reserve rental equipment unless a credit account has been established with Affairs to Remember. A cancellation fee of 50% will apply to any portion of an order cancelled within 48 hours of delivery or pick up from our facility. In order to avoid errors in preparing your order, we ask that all changes to your order be made 48 hours prior to customer pickup or delivery. Customer is responsible for viewing and approving all information listed on a rental order. Orders cannot be altered after they have been packed. Additional rentals can be picked up at our warehouse or delivered for an additional fee if time allows.
Pricing and Availability
Rental rates are subject to change without notice, and are based on a per event basis. Once a reservation has been secured via deposit, prices are no longer subject to change. Extended rental rates are available upon request. Late returns may be subject to additional charges. All rental orders are subject to 6% sales tax and a 7% damage waiver fee. The damage waiver fee covers reasonable breakage or loss on rental items. Excessive breakage or loss may result in additional chargers for replacement and/or lost rental revenue.
Pick-up and Delivery
Rentals may be picked up at and returned to our warehouse during the following hours: Monday through Friday, 9:00am to 4:00pm and Saturday, 9:00am – 11:00am. If you are unable to pick up and/or return within these hours, arrangements can be made to open the warehouse for an additional fee based on the amount of staff required to assist you. Delivery and pickup service is available at competitive rates. Standard deliveries are made to single locations (such as the ground floor, loading dock, or garage) easily accessible to our delivery crews. Additional charges will be applied to labor intensive locations (golf courses, stairs, beaches or significant distance from Affairs To Remember vehicle). Standard deliveries take place Monday through Saturday, 9:00am to 4:30pm. Sunday, after-hours, specific time and holiday deliveries are available for an additional fee; please call our office for a quote. If no representative of the customer is present to receive a delivery or pick-up, Affairs To Remember’s count will be treated as final. All equipment must be repacked, restacked, and ready for pickup in the same manner in which it was delivered unless arrangements have been made for Affairs To Remember to setup and/or breakdown the rental equipment. There is a labor charge for setup and breakdown of equipment; rates are available upon request.
Repacking and Cleaning
All glassware, china, silver, and flatware must be free of food and liquids and returned in their original containers. Linens should be shaken off and left out to dry if necessary to prevent mildew and staining. Damp linens should not be stored in plastic bags under any circumstances. Linen bags are available upon request, subject to availability. Charcoal grills must be empty of ashes and coals to avoid a $50.00 cleaning fee. Furniture is sometimes delivered on dollies and secured with straps; these items should be returned with the furniture to avoid replacement costs.
All equipment is the customer’s responsibility from the time of delivery until the time of return. Affairs To Remember charges a damage waiver fee of 7% on all orders. This fee covers reasonable breakage or loss on rental items. Excessive breakage or loss may result in additional charges for replacement and/or lost rental revenue. Missing items may be returned within one week to avoid being charged the full replacement cost, but may incur extended rental fees. Rental fees do not apply toward replacement charges.
Quality Assurance and Support
Affairs To Remember strives to provide high quality customer service and equipment, but occasionally we make mistakes. If you discover missing, damaged, or incorrect equipment in your order, please call us as soon as possible: we will make every attempt to correct the problem, and you will avoid being charged in error. If our office is closed, you can leave a voice mail message, send us an email, or call our after-hours emergency line (this may change, but the current number is given on our voice mail answering message).
